The Happy Campers Club has more than 500 members, organises about ten bushwalking trips a week and about five camping trips a year, and sends out a printed newsletter every month. Once a month they have a meeting in the local hall where the members can sign up for their favourite walk, or if they can't attend the meeting they ring the walk leader. For safety reasons most walks are limited from ten to twenty people.
It all involves a lot of work for all the volunteers who are running the Happy Campers Club: collecting the annual membership fees, organising and sending the newsletter, signing people up for walks etc.
So they signed up for an OZ communities website with the following options: Membership Manager, Booking Calendar and Email Sender.
Now they still have their monthly meeting of course to do what clubs do, like sharing stories, coffee and biscuits, but a lot of the organisation has now been made easier:
- Members' annual fees can now be paid using the Membership Manager
- Once a month the Newsletter Committee sends out its newsletter using the Newsletter Manager, saving on printing and postage
- The leaders can now enter the details of their walks or camping trips into the Booking Calendar: They can limit bookings to the number of people considered safe
- It is possible to collect any insurance as part of the booking process, so there is no need to deal with cash on the day of the walk, or in case of a camping trip, it is possible to collect a deposit or full payment
- With the Membership Manager it is possible to restrict bookings to all members, paid-up members or any website visitors
- Members can browse the Booking Calendar for their favourite walk or camping trip, see how many spots are still available and book online
